Part one

Add someone to your group membership

A group membership shares one pool of bay-hours across everyone on it. You invite people yourself from the app — they get a code, set up their own login, and start booking. Nobody you invite is charged; the membership stays billed to you.

Before you start

  • You're the owner of the membership — the person it's billed to. Only the owner can invite.
  • You have a spot left. Your plan sets the group size; if it's full you can buy another seat in the same screen.
  • The person you're inviting has a phone that can install the 365 Golf app.

    Open your group in the app
    Account → My group

    You'll see everyone currently on the membership, how many hours the group has left this cycle, and how much each person has used.

    Tap Invite a member

    The button is greyed out when the group is full. If that's the case, tap Add a member instead to buy an extra seat — the seat opens immediately and the added monthly fee starts on your next billing date.

    Share the invite code

    A code appears right away. Tap Copy code, or use Text / Email to send it straight from your phone with the instructions already written for you.

    Codes are one-time and stored scrambled, so the app can't show you the same code twice. Tapping Show code on a pending invite issues a fresh one and retires the old.

    They enter the code and set up their account

    Your invitee downloads the 365 Golf app and, on the welcome screen, taps Have a code? Enter it. After entering the code the app confirms whose group they're joining and which plan they'll share. They create a login — no card, no payment — and sign the liability waiver.

    If they've had a 365 Golf account before, they use the same email and their existing password; the invite attaches to the account they already have.

    Check they landed

    Back in My group, a pending invite becomes a listed member once accepted. From then on they book bays and unlock doors on their own phone, drawing from the shared hours.

Managing the group afterwards

Pending invites show their expiry date and can be canceled to free the spot back up. Removing a member cancels their upcoming bookings — those hours return to the shared pool — and reopens their seat for a new invite.

Part two

Book a bay

Every visit starts with a booking. It holds the bay for you, and it's what opens the door when you arrive — so book first, even if you're already in the parking lot.

Before you book

  • Your waiver is signed. If it isn't, the app stops you at the last step and offers to sign it there.
  • You have hours left this cycle, and room under your plan's daily limit.
  • On a group membership, everyone books from the same shared pool of hours.

    Open the Book tab

    It opens on the Calendar view: bays run across the top, hours down the side, and anything already taken is blocked out. Your own booked days are marked on the month strip. Tap any open slot to grab it.

    Or switch to Quick pick

    Work down the rows — location, day, start time, then duration. The duration row shows your daily limit right in its heading, so you can see how long you're allowed to go.

    Last row is the bay. Choose a specific one, or leave it on Any available and the app takes the first bay that's free.

    Check the summary, then Confirm booking

    A running summary sits at the bottom of the screen with the bay, location and time you've built up. Confirm it and you'll get "Tee time booked. See you there!" — the tee time then appears on your Home screen.

    Change your mind? You have until two hours before

    Open the tee time and use Reschedule or Cancel booking. Free up to 2 hours before your start time, and the hours go straight back to your allotment. Inside that two hours the booking stands.

Booking for the group

A booking made by anyone on a group membership draws from the one shared pool, and every member can unlock the door for it. My group shows what's left this cycle and who has used what.

If it won't let you book

"Over your daily limit"
Your plan caps how many bay-hours you can book in one day. The app offers a shorter slot that fits — take it, or pick another day.
"Over your cycle hours"
You're out of hours for this billing cycle. Buy more or move up a plan under Account → Manage plan; the app links you straight there.
"Concurrent bookings limit"
Your plan limits how many tee times you can have on the books at once. Play or cancel one before adding another.
"Sign the waiver first"
Everyone on the membership signs their own. Tap through, sign, and your booking goes through.
"That bay was just booked"
Someone took it a moment before you did. The app offers another bay at the same time — one tap to move over.
Part three

Get into the facility

There's no fob, no keypad and no code on the door. Your booking is your key: when your tee time is close enough, an Unlock door button appears in the app and opens the entrance for you.

You can unlock when all of these are true

  • Your membership is active — not paused, canceled, or behind on payment.
  • You have a confirmed booking at that location, and you're inside its unlock window.
  • Your waiver is signed.
  • You're physically at the facility, with the app allowed to use your location.
The unlock window opens 15 minutes before your booking starts and closes 15 minutes after it ends. Your booking Unlock button is live −15 min start end +15 min
The button goes live 15 minutes before your start time and stays live until 15 minutes after you finish. Outside that window it's greyed out and reads Unlock at 4:00 PM.

    Arrive, and open the app
    Home

    Your tee-time card sits at the top of the Home screen with an Active badge once the window opens.

    Tap Unlock door

    The app confirms you're at the facility, then opens the door. You'll see "Door unlocked — head on in." At Provo, where two doors are available to members, you'll pick which one first.

    Unlock again if you step out

    The button stays available for your whole session, so you can go back to the car and let yourself in again. Doors re-lock behind you every time.

Your phone needs signal

Unlocking goes through the internet, not Bluetooth. Cell service or the facility Wi-Fi both work, but a phone in airplane mode won't open the door.

When it doesn't work

The button says "Unlock at 4:00 PM"
You're early. It becomes tappable 15 minutes before your start time.
There's no unlock button at all
No confirmed booking at this location today. Check you're at the right site — a booking in Riverton won't open Provo.
"You're too far from the facility"
The app checks you're on site before it will unlock. Turn on location for 365 Golf under Account → Device access, then try again.
It refuses even though you have a booking
Most often the membership is past due after a failed card. Update the card in Account → Payment & billing; access comes back on its own once the payment clears. Paused and canceled memberships also can't unlock.
The app says it unlocked, but the door didn't move
Give the handle a firm pull — the latch releases for a few seconds. If it still doesn't budge, tap again, then call the number on the door.
